Dear Candidate,

As the Data Subject, meaning the individual to whom the provided personal data relates (hereafter referred to as "Data"), our company CODOGNOTTO ITALIA S.p.A., with Sole Shareholder, headquartered in Salgareda (TV), via Calnuova 20 (hereafter the “Company”), would like to inform you of the following.

1. What personal data about you may be collected

The Data collected generally pertains to the information found in your Curriculum Vitae. Additionally, information obtained from reference checks (if conducted) such as membership in certain institutions, academic background, employment history, and other relevant details to assess your suitability as a candidate may also be gathered. Moreover, information and images from your profile on professional networks (if applicable), notes taken during interviews, and comments from other parties such as references, may be compiled during the selection process. The Data may be updated based on publicly available information and/or collected from third parties, and/or directly from you. Furthermore, the Company reserves the right to verify the accuracy of the Data, particularly regarding educational qualifications, previous work experiences, holding of professional or institutional positions, also by contacting the individuals you may have indicated as references, as well as your previous employers.

 

The acquired Data will not concern personal beliefs, racial or ethnic origin, political opinions, religious or philosophical beliefs, union membership, information related to health, sexual life, or sexual orientation (hereinafter “Special Categories of Data”), nor facts irrelevant to the assessment of your professional aptitude, unless they pertain to characteristics impacting the performance of work activities or constitute an essential and determining requirement for performing the same.

2. For what purposes can your personal data be used?

The collection and processing of your Data are necessary for the execution of pre-contractual measures and are carried out for purposes connected or instrumental to the company's personnel search and selection activities.

Basis for processing: execution of pre-contractual measures. The provision of Data, including special Categories of data within the limits indicated above, pursuant to current data protection legislation, is deemed mandatory in order for the Company to meet the needs of candidate evaluation and assessment within the personnel search and selection process, as well as to comply with legal obligations, standards, and regulations. Failure to provide such data may result in the inability to proceed with the personnel search and selection process and consequently hinder the establishment of a potential employment relationship.

3. How We Keep Your Personal Data Secure and How Long We Retain It

Your data will be handled in accordance with the principles of fairness, lawfulness, and transparency. This process may involve automated methods for storing, managing, and transmitting your information. The handling of your data will utilize appropriate tools to ensure security and confidentiality, employing procedures designed to prevent loss, unauthorized access, unlawful use, and dissemination.

Your data will be retained only for the period necessary for personnel selection purposes (whether for a specific position or for future opportunities of potential interest). The company has a periodic review process in place to assess the relevance of the data and the possibility of deleting it when it is no longer needed for the intended purposes. 

In any case, your data will be stored in the company's databases for no longer than:

  • 6 months from the date of acquisition by the company for applications to open positions
  • 24 months from the date of acquisition by the company for unsolicited applications

After this retention period, the data will be deleted or anonymized.  

4. Who Can We Share Your Personal Data With

Authorized employees and external suppliers may have access to your data, designated as data processors if necessary, who support the delivery of services.

For the same purposes, your personal data may also be accessed by other Codognotto Group companies based in the EU.

You may contact the company using the methods outlined in the "Contacts" section if you wish to request access to the list of data processors and other entities to whom we communicate the data.

5. Your Data Protection Rights and Your Right to Lodge a Complaint with the Supervisory Authority

Under certain conditions, you have the right to request that the Company:

  • provide access to your Data, as well as its rectification;
  • delete your Data;
  • restrict the processing of your Data;
  • object to the processing where applicable under the relevant regulations;
  • receive your Data in a structured, commonly used, and machine-readable format (portability) and transmit such Data to another data controller.

The exercise of these rights is subject to certain exceptions intended to safeguard the public interest (such as the prevention or detection of crimes) or the interests of the Company.

Should you exercise any of the aforementioned rights, it will be the Company's responsibility to verify your entitlement to exercise such rights and, generally, you will receive a response within one month.
